How this website handles your information

What the site collects when you visit or write to us, why, who else handles it, and how to reach us about it.

DRAFT — for counsel review  Effective [EFFECTIVE DATE]

Who we are

This website is run by Ruled & Bound, the trading name of [LEGAL ENTITY NAME], registered in [COUNTRY] at [REGISTERED ADDRESS]. We provide tax preparation and bookkeeping support to US CPA and EA firms. In this policy, “we” and “us” mean Ruled & Bound.

This policy covers this website only. It does not cover the work we do for accounting firms, which is governed by our engagement letter with each firm.

What this site collects

When you send the contact form, we receive what you enter:

  • the type of request you choose (a scoping call, a paid test return, or reserving capacity)
  • your name
  • your firm's name
  • your work email address
  • your firm's size, if you choose one
  • the software your firm uses, if you enter it
  • your message, if you write one

The form sends these details to us as an email. The website does not save them in its database.

A rate-limit counter. To slow down automated spam, the site counts how many times the form is sent from each internet address. It does not store the address itself: it stores a scrambled, one-way code made from the address (a keyed hash) together with a count. Each counter is set to expire 15 minutes after it is created.

Server logs. Like most websites, our hosting provider records technical details of each request, such as the internet address, the browser type, the page requested and the time. These logs are kept by the host under its own terms. [Host log retention period]

Cookies, analytics and tracking. Today the site uses no analytics, advertising or tracking cookies, and pages do not load content from other companies' servers — the fonts are served from our own site. [Update this section before any analytics or tracking tool is added.]

Why we use it

We use the contact-form details to reply to you, to arrange a scoping call or test return, and to keep a record of our conversation with your firm. We use the rate-limit counter and the host's logs to keep the site working and secure.

We do not sell the information sent through this site, and we do not use it for advertising. We may send you follow-up emails about the request you made; [marketing email practice, if any — to be confirmed].

How long we keep it

  • Contact-form emails: [RETENTION PERIOD], or longer if they become part of an engagement with your firm.
  • Rate-limit counter: set to expire after 15 minutes.
  • Server logs: as set by our hosting provider [PERIOD].

Who else handles it

We share website information only with the service providers that run the site and deliver its email:

  • Hosting: the website is hosted by Hostinger in its United States region, and pages may be delivered through the host's content delivery network.
  • Email: form messages are sent by [EMAIL DELIVERY SERVICE] to our mailbox at [MAILBOX PROVIDER].

We may also disclose information where the law requires it. [Counsel to confirm wording]

Where your information is handled

The website is hosted in the United States. Our team works in [COUNTRY], so messages you send through the form are read and answered from there.

Client tax return information

Please do not send client tax return information through this website. No returns, Social Security numbers, financial statements or other client records should go through the contact form. When we work with a firm, client information is handled under our engagement letter with that firm and the client's consent obtained by the firm — through the systems the firm grants us access to, not through this site.

How we protect client data during an engagement is described on our security page.

Your choices and rights

You can ask us what information we hold about you from this website, ask us to correct it, or ask us to delete it, by writing to the address below. We will reply within [RESPONSE TIME]. [Any jurisdiction-specific rights, as advised by counsel]

Changes to this policy

We will update this page when what the site collects changes — for example, before any analytics tool is added — and change the effective date at the top.
